The short version
- We do not sell your personal information or use it for targeted advertising.
- Your quotes, customers and notes are yours. Only members of your workspace can see them.
- A deal your workspace closes stays with your workspace. It never sets another workspace’s prices.
- Analytics record which features get used, never customer names, quote text or exact prices. Session replay is off.
- Email support@basinly.com to see, correct, export or delete your data.
A summary to help you read this policy. The full text below is what applies.
Basinly is a market intelligence, valuation, and quoting tool for oil and gas teams. This policy explains what we collect, why we collect it, how we share it, and the choices you have. We are the operator of Basinly and you can reach us at support@basinly.com.
Basinly is a business tool. Most of the personal information in it is data that you, our business customer, enter about your own contacts and customers. For that data you decide what to collect and why, and we process it to run the service for you. For your own account and how you use Basinly, we make those decisions. This policy covers both.
Information we collect
- Account information. When you sign in, we receive your email address and name. If you sign in with Google, Google shares your basic profile (name, email address, and profile picture) with us. We never receive your Google password.
- Information you enter. Basinly stores the quotes, valuations, leads, customer names and contact details, pricing, equipment details, and notes that you create in the app, and a logo you upload for your documents. You control this content and are responsible for having the right to enter it. An equipment photo you ask Basinly to read is sent to the AI provider to read the unit’s tag and is not stored.
- Information from people who use your share links. When you send a customer a quote link or an intake link, we record the limited information needed to show the page and prevent abuse, such as the network address of the visitor and anything the visitor chooses to submit back to you (for example an approval, a requested change, or a description of equipment they need).
- Usage information. We record which pages you open and which features you use, along with your browser type, device type, and approximate location based on your IP address. We use PostHog and Vercel for this. When you are signed in, we link this activity to your account and your workspace by their ids, not by your email, your name, or your company name, so we can tell how the product is actually being used. That includes a record that a workflow step happened, such as saving, sharing, or winning a quote, along with non-identifying details like how many line items it had and a broad price range. We do not send customer names, contact details, quote text, exact prices, or the address of a share link. Session replay is turned off, so we do not record your screen or the contents of your forms.
- Cookies and local storage. We use cookies to keep you signed in and to remember your display preferences. Some of your work is also cached in your browser so the app loads quickly and keeps working offline. When you are signed in, the analytics tools above set their own cookies, which you can turn off (see Your choices and rights). Before you sign in, analytics run without setting their own cookies or storing anything in your browser.
How we use information
- To provide the service, including signing you in and saving your work.
- To keep the service secure and prevent fraud and abuse.
- To understand which features get used so we can improve the product.
- To contact you about your account when we need to.
- To email you when a customer answers a quote you shared or sends a request through your request form. The email names the customer and the quote from your own records, never what the customer typed.
- To meet legal obligations and enforce our terms.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising.
Workspaces and team members
Basinly is organized into workspaces. If you join a shared workspace, the quotes, valuations, leads, and other records in that workspace are visible to the other members, and workspace owners and admins can manage members and see the workspace’s data and activity. Your name, email, and role are visible to other members of your workspace. If you invite someone to your workspace, you are responsible for who you invite.
Sharing quotes and valuations
Basinly lets you create links to share a quote or collect a request from a customer. Anyone who has the link can open the page it points to without signing in, so treat these links like the documents themselves. You choose what to put in a shared quote and who to send the link to. A shared quote also shows the name, phone and email on the profile of whoever shared it, so the customer can reach them. You can revoke a link at any time, which closes access from that point forward. A response recorded through a link reflects intent and is not a signature or a contract.
Your deals and the prices you add
A deal your workspace closes stays with your workspace. Its price tunes the prices Basinly suggests to your workspace and is never used as pricing evidence for another workspace.
Owners and admins can also add prices from vendor price sheets, auction results, and published listings. Those prices stay with your workspace too. They tune only the prices Basinly suggests to your workspace, no other workspace can see them, and your workspace can remove what it added.
AI features
Some Basinly features generate written summaries using a third-party AI provider (Anthropic). When you use those features, the inputs needed to produce the result are sent to that provider, which handles them under its own terms. We do not send your sign-in credentials to AI providers. On pages that a customer can open without signing in, free text is stored and is only sent to an AI provider later, when you choose to process it from your own signed-in session.
Some features can also draw on records in your workspace, such as an account’s activity or the prices on quotes you won, to write a summary or suggest a price. When they do, those records are sent to the AI provider to produce the result, and the result is kept with your workspace. An account brief also sends the customer’s name and the name and title of the contact on that account. A suggested price never changes a quote until you accept it, and a price you type stays as typed.
Service providers
We share information with the providers that run Basinly. Each provider only receives what it needs to do its job.
Data from public sources
Basinly displays oil and gas market data drawn from public and third-party sources. That content describes companies, equipment, and public filings, not you, and we show it for informational purposes. These sources include:

- GSA Auctions

International data transfers
Basinly and its providers are based in the United States, and information you give us is processed there. If you use Basinly from outside the United States, you understand that your information will be handled in the United States, where privacy laws may differ from those in your country.
How long we keep information
We keep your account information and the data you create for as long as your account is active. If you close your account, we delete or de-identify your data within a reasonable period, unless we need to keep some of it to meet a legal obligation, resolve a dispute, or enforce our terms. Anonymized data that no longer identifies you may be kept.
Some records have shorter limits. We clear the contact details on a customer request 180 days after it is handled or dismissed. We delete security and activity log entries after 400 days. We delete a daily written summary after 14 days, and older versions of other written summaries after 30 days. We keep a daily value for each saved equipment list for 400 days, then one value a week.
We take a backup of the database every night and keep each backup for 30 days. Data you delete stays in older backups until they expire, and we use backups only to recover from a failure.
Your choices and rights
You can ask us to access, correct, delete, or receive a copy of your personal information. Email us at support@basinly.com and we will respond. Basinly also gives you direct controls in Settings under Security and data:
- ExportExport your data as a file.
- Browser dataClear the data stored in your browser on this device.
- AnalyticsTurn product analytics off.
- Delete accountDelete your account.
Open Basinly to use these controls
You can also clear cookies and local storage in your browser at any time, though doing so will sign you out and reset your preferences.
Your state privacy rights
If you live in a state with a privacy law, such as California or Colorado, you may have the right to know what personal information we hold, to get a copy of it, to correct or delete it, and to appeal a decision we make about a request. You also have the right not to be treated differently for using these rights. We do not sell your personal information and we do not use it for targeted advertising. To make a request, email us at support@basinly.com. We may need to verify your identity before we act.
Security
We protect data in transit with encryption and restrict database access so each account can only reach its own records. No system is perfectly secure, so we cannot promise absolute protection. If we learn of a breach that affects your information, we will notify you as required by law.
Children
Basinly is a business tool and is not intended for anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We may update this policy as the product changes. When we do, we revise the date at the top of this page. The provider list and effective date on this page come from a single internal source of truth, so they stay current with the app. If a change is significant, we will take reasonable steps to let you know, such as a notice in the app.
